Hybrid Event – venues across 5 cities in Australia & simultaneous Virtual event


The event was originally planned as a face-to-face meeting in Brisbane in mid-2020. However, due to COVID-19 we worked with the client to pivot our approach and produce a Hybrid meeting, with face-to-face attendance in venues in Brisbane, Cairns, Sydney, Perth and Adelaide, plus a virtual option for other delegates. This increased the audience we were able to reach, while also extending the audience internationally. The meeting consisted of a range of international and local speakers with live Q&A and polling.


Creation and management of project plan & timeline

Venue source in 5 locations across the country

Liaise with venues to establish COVIDSafe measures, ensure guidelines are met in each state

Regular meetings with client and relevant teams to ensure all event goals achieved

Create and mail packages for all attendees including event brochures

Distribute meal vouchers (via UberEats) for all virtual attendees

Produce engaging event elements by working with graphic designers and print suppliers

Coordinate a complex agenda with local and international speakers, live Q&A and polling

Build a comprehensive event website, to host registration, agendas, speaker information

Manage detailed budget and all event related suppliers

Provide regular RSVP updates to client & post-event reporting

Coordinate simultaneous events in 5 cities, plus virtual (via Webcast Platform) including international speakers

Manage AV requirements in 5 locations as well as a production hub to oversee entire production on event day.

Manage theming, food & beverages and set up requirements in 5 locations
